How does Ninecheck manage an asset with a QR label?
The label is the link between a physical item and its digital record. Scanning identifies the asset; Ninecheck then decides what the viewer can see or update according to the workspace and access settings.
Each asset receives a unique record and tag
The record can contain a code, name, images, description, category, location, assigned user, status, value, purchase date and optional warranty or depreciation details.
Visibility controls what happens after scanning
An asset can be limited to administrators, the assigned user or workspace members, or exposed as a public view. A QR label does not automatically make all internal information public.
Locations and categories keep the list structured
Organize assets by category and by a location hierarchy such as office and floor or factory and production area, then filter the list by the structure used in daily work.
An inventory sheet freezes the checking scope
Choose a location or the whole workspace when creating an inventory round. Ninecheck records the expected asset list so later movements do not silently change that round's original scope.
The scan confirms identity, while staff confirm reality
Scanning finds the matching asset. The checker still records whether it is available, damaged or lost and can add a note before the inventory sheet is completed and locked.

Check before publishing
- Give every asset a unique, stable code before importing or printing labels.
- Check that the selected visibility level does not expose internal information unintentionally.
- Place the label on a flat, accessible area that will not be covered during normal use.
- Test the printed tag with an ordinary iPhone and Android phone before printing in bulk.
- When an item moves or changes user, update the record instead of waiting for the next inventory round.
- Export and review the final inventory report before closing outstanding differences.
7 decisions to make before rolling out asset QR labels
A good asset system starts with consistent data and a clear operating process. The label helps staff reach the record, but it cannot correct unclear ownership or outdated information by itself.
Standardize the asset code format
Use a pattern that remains stable, such as LAP-HN-023 or TOOL-FACTORY-A-018. Do not reuse a retired code for a different item.
Clean the Excel file before importing
Remove duplicate rows, normalize names and confirm asset codes, locations and assigned users. Importing an untidy file only moves the same confusion into a new system.
Define categories and locations first
Agree on a structure people understand in daily work. Avoid many nearly identical categories or location names that make filtering and inventory difficult.
Assign roles and viewing permissions
Decide who can manage assets, run inventory and view individual records. Use public visibility only for fields that are safe to show to anyone with the label.
Choose a label that suits the environment
Office equipment, outdoor tools and factory machines need different adhesive, surface protection and label sizes. Keep the QR away from curves, heat, friction and removable covers.
Write one inventory rule for everyone
Define how staff mark available, damaged or lost items, what evidence to include in notes and who resolves location or user differences.
